How we run our company's growth on an AI system logo

An AI system runs the growth side of our company. It writes and schedules content, keeps the CRM current, runs outreach follow-ups, and holds the strategy together week to week. We point it where to go. It does the work. We have run on it day to day for months.

It now has a name and a page: The AI Growth Operating System. Founders kept asking whether a system like this could run their growth too. The answer is yes, with the right setup. Here is what it is, why it works, and how we build it for other companies.

Where founder-led growth stalls

Most founders already know what their growth needs. They understand their market better than anyone they could hire. They know the product, the customer, and the story. The hard part is doing all of it, every week, on top of running the company.

So content goes out in bursts, then goes quiet for three weeks. Leads come in and sit. Outreach happens when there is a free afternoon, which there rarely is. The strategy is usually fine. The execution is the part that slips.

The common fix is to hire a marketing and sales team. Early on, that is a big, slow, expensive bet. You pay for capacity before you know exactly what works, and you end up managing people instead of doing the work you are good at. Growth stays capped at the founder's own hours.

What we built

We built the other option: an operating system for the growth function. Strategy, playbooks, and voice rules live as plain files an AI director reads and runs on the tools we already use: Notion, n8n, Metricool, Strapi, and Slack. Nothing new to buy, nothing to migrate.

In practice, it drafts and schedules content in our voice, keeps the CRM up to date, follows up on the pipeline, tracks what works, and keeps the strategy on track. The founder stays the brain. The system does the execution.

What matters is what stops happening. Work no longer waits for a free afternoon. Posts go out on schedule. Leads get followed up. Nothing sits in a backlog waiting for someone to get to it.

We are deliberate about one thing: this is AI-leveraged, not AI-native. The judgment stays human. More than ten years of doing this work is what tells the system what good looks like. AI handles the speed and the grind.

Why it works: the structure underneath

The system runs on the structure around it, far more than on the model itself. Underneath it sits a documented strategy the system can actually use, defined workflows for how work moves, the business context the AI needs to make good calls, and a feedback loop that writes every correction back in so the next run starts smarter. It already knows the business. You are not re-explaining the context every morning.

This is also where the real work lives, and it is the work we do for a living. The growth function only runs on its own when the tools are connected: content, CRM, outreach, analytics, and the AI layer all have to talk to each other. We have spent more than a decade building exactly these connections across marketing, sales, and operations. The system runs because the plumbing underneath it is built right.

It comes as modules

We do not sell the whole system at once. It comes as six modules. Each one takes a piece of the growth work off your plate and does it end to end, on your existing tools. Start with the one that removes the most work, add more as they earn it.

ModuleWhat it takes off your plate
CRM IntelligenceNew contacts captured, researched, and scored against your ideal customer. A morning digest of who is worth your time.
Pipeline Follow-upPeople who engage with your posts become contacts with context, with a shortlist of who to reach out to and when.
Content EngineYour completed work mined for post ideas, drafted, and scheduled on a steady rhythm.
NewsletterAssembles itself from what you already published, ready to send on schedule.
Reporting and InvoicingClient reports drafted and invoices generated on schedule. Month-end admin done before you sit down to it.
Finance and ForecastingRevenue and workload forecast from your pipeline, with expenses and income tracked as they land.

A module fits one of two ways. It drops into the process you already run, or it brings the workflow we have proven on our own growth.

You stay in control

The system drafts, scores, reports, and invoices. Nothing goes out without your approval. AI does the work; the judgment stays yours.

Nothing runs in a black box either. Every run lands on a timeline in PhantomSwarm, a tool we built and use ourselves, with a link back to the source for every result. And because the playbooks are plain files any capable AI model can run, there is no lock-in.

We run it on our own growth

This is the system that runs our own marketing today. Every post, newsletter, and follow-up we send comes out of it. We built it for ourselves first, we live with the results, and we keep improving it because we feel every gap directly.

That is also why we are clear about its limits. It does not replace a founder's judgment, and we would not want it to. What it does is clear the execution ceiling, so that judgment can actually reach the market.

Who it's for

This is for founder-led companies and small teams where growth is still somebody's second job and it is hitting the limit of their hours. The market knowledge is there. The strategy is there. What is missing is a way to execute all of it, every week, without standing up a full team before it is time.

We map how growth actually works in your business, pick the module that removes the most work, and build it on your stack: fixed scope, fixed price, in weeks. The full module menu and a 20-minute walkthrough are on the growth system page.

A founder who knows their business, paired with a system that handles the execution, is hard to beat. That is what we run on, and it is what we build.
